Hello, Fellow Human. Time to upgrade.
I know you have sat through this particular type of meeting more times than you care to admit:
Five people join.
Someone says, “I’ll go first.”
They explain what they did yesterday.
Then what they’re doing today.
Then whether anything is blocking them.
Person two does approximately the same thing.
By person four, half the room is checking email with their camera strategically angled upward.
And somewhere around minute 13, we collectively discover that the meeting could have been a paragraph sent to everyone.
We all know that the status updates are not useless, but why do we continue to use synchronous time to transport asynchronous information?
Because we haven’t stopped to think of it that way, that’s why. Well, we are going to discuss it now because that is a very expensive delivery system that we can no longer afford.
A 15-minute daily meeting with six people isn't really a 15-minute meeting. It consumes 90 person-minutes before you count context switching, scheduling friction, late arrivals, or the five minutes everyone spends mentally rebooting afterward.
But eliminating the meeting without replacing its function creates another set of problems:
Managers lose visibility
Dependencies get missed
Blockers linger
People start sending random updates through Slack, Teams, email, and interpretive dance 💃🏼
Our goal should not be to
cancel the meeting
but to
design a better information-sharing system.
This is where AI becomes a tremendous human intelligence multiplier.
Have every team member complete the same short daily status template. This could even be an AI script that interviews the team member to gather the information. Then have AI synthesize those updates into a manager-ready, standard-format brief highlighting progress, blockers, dependencies, decisions required, and anything unusual.
Humans provide the facts and judgment, AI handles the repetitive synthesis, and everyone produces a standardized output format that can be quickly shared and understood.
When you do this, you allow the meeting to cover discussions, judgments, or collaboration as required.
And that’s an important distinction because we are not trying to eliminate human interaction. We’re eliminating the part where highly paid humans take turns reading information aloud.
