YOUR DAILY PROMPT

I worked for a company that included a professional services team. One time, we had just landed a $20,000 project and were SO excited. The proposal looked good, the client was happy, and the CEO expected a healthy profit.

Then the requests began.

  • Could we add one more stakeholder interview?

  • Could you customize the reporting format for our leadership team?

  • Would you mind joining a quick meeting with our regional managers?

  • Oh, and could we get a slightly different version of the final deliverable for each department?

Individually, these are reasonable requests. The account manager wants to protect the relationship, the project lead wants to deliver excellent service, and nobody wants to start a difficult conversation over another two hours of work.

By the time the project closes, however, the team has invested an additional 35 hours that were never included in the original price.

At an illustrative internal labor cost of $100 per hour, that's $3,500 in additional project expense.

The client still paid $20,000, and everyone is celebrating another successful engagement. Meanwhile, $3,500 of expected profit has quietly disappeared.

I call this a margin leak, and custom work is particularly good at hiding it because the additional effort gets scattered across emails, meetings, revisions, and helpful employees who genuinely care about their customers.

This is where AI can provide a surprisingly useful second opinion.

By giving AI a project scope, estimated and actual hours, labor costs, and a summary of client changes, you can ask it to identify where your original pricing assumptions stopped matching reality.

Better yet, you can have it distinguish between reasonable service flexibility, preventable internal inefficiency, and genuine scope expansion that deserves additional compensation.

The exercise can also help you make better decisions on the next proposal. Sometimes the smartest way to improve profitability is to identify the customizations you should standardize, price separately, or politely decline.

Today's Master Prompt turns AI into a commercial profitability analyst who reviews the economics of your custom work and recommends practical ways to protect future margins.

You may find that your next profit improvement opportunity is already sitting in your team's inbox.
