I have learned over the years that putting “Focus Time” on a calendar does not automatically create focus.

The calendar may say I am unavailable, but Slack still works, email still works, and text messages still work. Plus, someone can still send, “Quick question when you have a second,” which is corporate shorthand for “I have transferred this decision into your brain.”

The problem usually is not the interruption itself but that nobody knows what should happen when I am unavailable.

Can they decide without me? Should they wait? Who becomes the backup? What qualifies as urgent? Which situations deserve an interruption, and which ones can survive until 3:00 p.m.?

Without those rules, a focus block becomes a polite suggestion and really does not help you manage your day.

But with AI as your collaboration assistant, you can develop a plan. Give it your responsibilities, common interruptions, team structure, decision limits, and communication tools, and it can help you build an operating protocol for going offline.

The result can include an out-of-office message, a delegation table, escalation rules, decision authority, emergency criteria, and a return checklist. More important, the AI can pressure-test the system by asking what happens when the usual backup is unavailable or when a request falls into a gray area.

This is a good example of what U call the Paul’s AI 90/10 Rule. AI can do the drafting and organize dozens of possible scenarios quickly. You still provide the judgment that determines who has authority, which risks matter, and when someone should interrupt you.

A good deep work block has two jobs: It protects your attention, and it gives everyone else enough clarity to keep operating.

That second job is what makes the first one possible.
