Have you ever watched a perfectly reasonable resource request turn into an organizational border dispute? It’s not pretty and can leave some lasting scars.

In one case I remember, the project leader needed a specialist for six weeks. The specialist had exactly the expertise the project required and the business case was solid.

The email, however, opened with something close to:

“We need Taylor assigned to our project immediately.”

While this was specific and got to the point, it was about as diplomatic as moving a fence three feet into your neighbor’s yard and sending them the survey afterward.

The receiving leader did not hear, “We have an important enterprise opportunity.” Instead, they heard:

  • “Your priorities matter less than mine.”

  • “I have already decided which member of your team I’m taking.”

  • “You will absorb the disruption.”

  • “And, naturally, I will receive the credit.”

That is the hidden difficulty in cross-functional resource requests. You are not simply asking for someone’s time. You are entering another leader’s operating system: their deadlines, commitments, team morale, performance goals, and sense of ownership.

A strong request must therefore accomplish two things at once.

  1. It must make the business need clear.

  2. And it must preserve the other leader’s control.

AI is unusually helpful here because it can examine the request from both sides of the organizational table. It can strengthen the business case, identify language that sounds territorial, define reasonable boundaries, and build a reciprocal arrangement before the email ever reaches an executive inbox.
